How to organize everything you save online

3 min readUpdated

Quick answer

Pick one place for what you want to use later, sort by what you’ll do with each thing (cook, go, train, buy), not by app, and send the post there when you save it. What you already saved comes over bit by bit — except Instagram saves and TikTok Favorites, which come in all at once through the export.

Who it’s for: Anyone who saves in three or four apps and, when it’s time to use something, can’t remember which one it’s in.

Step by step

  1. 1

    Pick one place

A notes app, a bookmarks folder, an app for saves. What matters is having one place to look first.

  2. 2

    Make folders by use

“To cook”, “Places to go”, “Workouts”, “To buy some day”. Four to eight folders are enough; what doesn’t fit goes into an inbox.

  3. 3

Bring over what you already saved

On Instagram, the export brings all your saves in one file. From the other apps, bring only what you still want to use, not everything.

  4. 4

From now on, share instead of saving

Sending the post to your place with Share costs about as much as saving, and it lands in the right folder straight away.

Folders that work

  • By what you’ll do. “Recipes for this week” tells you when to open it; “Food” doesn’t.
  • Few of them. With more than ten folders, picking the right one becomes a chore.
  • An inbox. What fits nowhere waits there until you sort it, instead of becoming yet another folder.

What about the old saves?

Don’t try to sort everything at once. Start with what you would use this week: the recipes, the trip that’s booked, the workout you want to start. The rest can wait in a single folder.

One collection, your Instagram saves included

Share from any app — Instagram, TikTok, YouTube, X, Pinterest, a website, a Google Maps place — and Munvi puts each post in the right folder by what it is. Your old Instagram saves and TikTok Favorites come in all at once through the export, without sharing them one by one, and Instagram collections become folders with the same names.

Questions

How many folders should I have?

Four to eight is usually enough. If you hesitate when picking one, there are too many.

What about screenshots?

Screenshots are saves too: keep them with the rest, in the folder for their subject. In Munvi, a shared screenshot becomes a card like any post.

Do I need to give my Instagram password to move my saves?

No. You request the export inside Instagram itself, and the file comes to you.
